Open Invoices & Dunning Management¶
For shops that sell on account: the plugin tracks every order paid with an invoice payment method as an open invoice until it is paid, and handles the dunning process directly in the Shopware 6 Administration under Orders > Open invoices.
The free core can be used forever. Optional plans (In-App Purchase) add dunning levels, automated dunning, PDF dunning letters, fees and more.

Features of a higher plan stay visible in the Administration – with a note on which plan unlocks them and a button to book it. Shopware shows the current prices in the In-App Purchase dialog. If a plan ends, all data is kept and the features of the active plan remain available.
🔧 Installation¶
- Install and activate the plugin from the Shopware Store or as a ZIP under Extensions > My extensions. Requirement: Shopware 6.7 – no other plugins are needed.
- Open Orders > Open invoices and click Synchronise orders once. This imports open orders paid by invoice from the last 365 days. New orders are added automatically.
- In the configuration, check the payment term, deadlines, fees and the payment methods that count as "invoice".
- Optionally adjust the e-mail texts under Settings > E-mail templates (templates starting with "Open invoices").

📊 Overview & traffic lights¶
The overview under Orders > Open invoices shows:
- KPIs: open receivables (total and count), overdue invoices, invoices in dunning including accrued dunning fees
- Tabs: Open invoices, Paid & cancelled and Dunning history
- Filters: search by order number, customer, company or e-mail, due-date range, amount range and dunning level
- Table: traffic light, order, customer, amount, due date with days overdue, dunning level and dunning fees
- Row actions (⋯): details & history, send payment reminder, send next dunning level, create PDF dunning letter, mark as paid, cancel
- Bulk actions (Starter): send reminders, send the next dunning level or mark several invoices as paid
- CSV export (Starter): respects the active filters
🚦 Traffic lights¶
| Colour | Meaning |
|---|---|
| 🟢 Green | Not yet due |
| 🟡 Yellow | 1–14 days overdue |
| 🟠 Orange | 15–30 days overdue |
| 🔴 Red | More than 30 days overdue |
Details & history¶
Clicking the order number opens the detail view with customer, status, order date, due date, amount, fees, amount due including fees and all actions. Below it, the dunning history (Business) lists every entry with recipient and trigger (manual, automatic, system). With Pro you can export the history of an invoice as PDF or CSV.

The Dunning history tab lists all entries shop-wide – filterable by action, dunning level and period, with CSV export (Pro).
Dunning history entries are deleted automatically after 180 days (daily scheduled task). The dunning level, last dunning date and fees of the open invoices are kept. Export the history (Pro) beforehand if you need to keep it longer.

📨 Dunning levels¶
| Level | Plan | Sending |
|---|---|---|
| Payment reminder | Free | manual, once per invoice; automatic from Business |
| 1st dunning notice | Starter | manual; automatic from Business |
| 2nd dunning notice | Starter | manual; automatic from Business |
| 3rd (final) notice with debt-collection announcement | Pro | manual or automatic |
Each level has its own e-mail template and sets a new payment deadline (default: 7 days). With Business, the configured dunning fee is added per level; it appears in the e-mail, on the letter, in the overview and in the customer account.
🕓 Automated dunning¶
With the Business plan and the option Send reminders and dunning notices automatically enabled, the daily background task cnk_open_invoice.daily_run checks all open invoices:
- New orders paid by invoice are imported; paid and cancelled ones are closed.
- For every overdue invoice, the level that is due is determined from the configured days.
- The e-mail is sent – with Business including the PDF dunning letter – and logged in the history.
At most one letter per invoice is sent per day. Partially paid invoices stay visible but are not dunned automatically, because reminders state the full invoice amount.
Requirement: background worker
Automated dunning and the daily notification need Shopware's background worker (message queue & scheduled tasks). It is active by default on most managed hostings. All manual actions work without the worker.
On first activation: existing backlog
The first run after activation covers all open invoices – including older overdue invoices from the synchronisation (up to 365 days). Every overdue invoice receives the next due level, at most one level per day. Check the list beforehand with the due-date filter and mark invoices that were already paid or written off as paid or cancelled, so that no unwanted notices are sent.
📄 PDF dunning letter¶
With Business, every reminder and notice creates a PDF dunning letter as its own Shopware document type "Dunning letter". It is stored with the order and – if enabled – attached to the e-mail. Create PDF dunning letter creates one on demand.
The letter contains the address, order number and date, original due date, days overdue, invoice amount, dunning fees, total amount due and the new payment deadline. Company data and logo come from Settings > Documents. The language follows the language of the order.

📬 E-mail templates¶
Under Settings > E-mail templates you find, in English and German:
- Open invoices: payment reminder (
cnk_open_invoice_payment_reminder) - Open invoices: 1st dunning notice (
cnk_open_invoice_notice_1) - Open invoices: 2nd dunning notice (
cnk_open_invoice_notice_2) - Open invoices: 3rd dunning notice (final notice) (
cnk_open_invoice_notice_3) - Open invoices: new overdue invoices (admin) (
cnk_open_invoice_admin_overdue)
Available variables include: order, openInvoice, salesChannel, shopName, orderNumber, dunningLevel, dunningFee, dunningFeeTotal, invoiceAmount, openAmount, dueDate, newDueDate, daysOverdue.

👤 Customer account view¶
With Pro, the customer account gets the menu item "Open invoices". Logged-in customers see their open invoices with order date, due date, status, dunning fees and amount due. The page can be switched off per sales channel.

🧩 Rule Builder conditions¶
With Business, three conditions are available in the Rule Builder:
- Customer has open invoices (Open invoices) – yes / no
- Oldest open invoice overdue by days (Open invoices)
- Highest dunning level (Open invoices)
Example: a rule "oldest open invoice overdue by at least 14 days or highest dunning level at least 2" used as the availability rule of the Invoice payment method hides pay by invoice for late payers.

✅ Incoming payments¶
As soon as the payment status of an order changes to Paid or the order is cancelled, the plugin closes the open invoice automatically and logs it. Mark as paid also sets the payment status of the order to paid.
🔐 Permissions (ACL)¶
Under Settings > Users & permissions > Roles you find the entry "Open invoices" in the Orders area:
| Level | Allows |
|---|---|
| Read | View the overview, details and history, export |
| Edit | Send reminders and notices, create letters, mark as paid, cancel, synchronise |
🗑️ Uninstalling¶
When you uninstall without keeping the data, the open invoices, the dunning history, the e-mail templates and the plugin settings are removed. Dunning letters already created stay attached to the orders. Rules that use a condition of this plugin are marked invalid and should be adjusted.
❓ FAQ¶
Is the plugin free?
Yes. The core is free forever – overview, traffic lights, filters, one payment reminder per invoice and "Mark as paid". Additional features are booked optionally via In-App Purchase.
Does the plugin add a "pay by invoice" payment method?
No. It manages receivables and dunning for orders that use an invoice payment method. You define in the configuration which payment methods count as "invoice".
